Participants, program contributors, guests, and external media representatives of LCOY – Youth Climate Conference Germany (hereinafter referred to as "LCOY Germany") and all other events of LCOY Germany are hereinafter referred to as "event participants." "Physical events" are events at locations specified by the organizing team, to which event participants travel or are present.
Conclusion of Contract
and Contractual Services
§ 1 The event participant accepts the following GTC. These GTC apply before, during, and after all events carried out within the framework of LCOY Germany.
§ 2 The contract is concluded between
- the user, LCOY Germany with the legal entity BUNDjugend (Jugend im Bund für Umwelt und Naturschutz Deutschland e.V., Kaiserin-Augusta-Allee 5, D-10553 Berlin, represented by the Federal Management) and
- the individual event participant or their legal guardians.

§ 3 The event participant or their legal representatives commit to complying with the rules set by the organizing team of LCOY Germany as well as the house rules and conditions in the used premises.
§ 4 Each event participant is responsible for ensuring adequate insurance coverage (in particular liability insurance) during LCOY Germany events.
Participation for Participants
§ 5 The participant commits to constructive participation in the entire event.
§ 6 The catering flat rate includes catering from Friday afternoon to Sunday noon at conferences.
- The participant is responsible for organizing and paying for
- arrival and departure,
- accommodation, unless provided accommodations are used,
- catering that goes beyond the meals covered by the catering flat rate according to § 6.
- The legal representatives approve this for participation.
§ 8 If it is not possible to participate, this must always be communicated as soon as possible to the organization team of the LCOY.
§ 9 A group within the meaning of these GTC is several participants who attend LCOY Germany events together with one or more persons to whom the duty of supervision over the group members has been transferred. The persons to whom the duty of supervision over the group members has been transferred are hereinafter referred to as group leaders.
§ 10 The group leader is responsible for the accuracy of the data provided for all persons in their group, which they transmit to the LCOY organizing team.
§ 12 The group leader is responsible for ensuring that all regulations are followed by the group.
§ 13 The group leader is responsible for paying the food flat rate for the entire group.
Participation for Program Contributors
§ 14 The program contributor is only allowed to enter the conference premises, attend the conference, and use the catering (lunch and dinner) free of charge on the day(s) of their own program contribution during physical events, except with the organization team of the LCOY the visit is arranged on several days.
§ 15 All program contributors should be present at least 30 minutes before their respective program contribution (physically or virtually depending on the format) and must notify the LCOY Germany organizing team immediately in case of any delays.
- All program contributors of a physical event must inform the organizing team at least two weeks before the event if they need materials on-site.
- There is no entitlement to the availability of materials on-site.
§ 17 The program contributor or their legal representatives acknowledge that the amount of compensation for expenses is determined by the organizing team and will only be paid if the program contribution is fully completed.
§ 18 If the program contribution cannot take place, the program contributor must inform the organizing team as soon as possible and provide a reason.
§ 19 The guest may only enter the conference premises, attend the conference, and use the catering (lunch and dinner) free of charge on the day(s) of the invitation during physical events.
§ 20 All guests should be present at least 15 minutes before the respective event contribution they have agreed to attend and must notify the LCOY Germany organizing team immediately in case of any delays.
§ 21 If participation as a guest cannot take place, the guest should inform the organizing team as soon as possible, including a reason.
Participation as an External Media Representative
§ 22 The media representative may only enter the conference premises, attend non-public parts of online events, or participate in other LCOY Germany events during the times specified by the LCOY Germany organizing team, visible at www.lcoy.de/presse, or by individual agreement.
§ 23 The media representative is obliged to register with the organizing team before creating photos, videos, and audio recordings.
Instructions and Reasons for Exclusion
§ 24 The instructions of the LCOY Germany organizing team and their authorized representatives must be followed. Failure to comply with instructions may result in exclusion from the event.
§ 25 The LCOY Germany organizing team is authorized to exclude participants from the event in case of:
- No one will be harmed – physically or mentally – or put in uncomfortable situations (during or in connection with an event of LCOY Germany).
- There is an absolute ban on drugs (including alcohol and cigarettes), unless otherwise approved by the project management.
- Punctual attendance at all program items is required.
- During in-person program items, electronic devices should only be used upon explicit request.
- Any house rules or other regulations of the premises in connection with an event of LCOY Germany must be adhered to.
§ 26 Refusal to comply with the instructions mentioned in paragraphs 24 and 25, or non-compliance with the rules may result in exclusion from the event. The same exclusion can be imposed for violations of rules that lead to the proper execution of the event. The project management decides on the exclusion. Claims of the participant for, even partial, reimbursement of the participation fees do not exist in case of self-inflicted exclusion.
Haftungsumfang und Aufsichtspflicht
§ 27 Jugend im Bund für Umwelt und Naturschutz Deutschland e.V.. is liable within the framework of legal regulations for intent and gross negligence of its members and the organizing team of LCOY Germany before, during, and after events of LCOY Germany.
§ 28 Participation takes place at one's own responsibility. There is no supervision obligation by the members of the organizing team of LCOY Germany.
§ 29 The legal guardians approve the participation of the underage participant in all events of LCOY Germany (see consent form U18).
§ 31 By participating in events of LCOY Germany, you agree that your registration data may be accessed by the organizing team and processed exclusively within the context of LCOY Germany events. As part of the event, lists may be created containing the following information: name and contact information (e.g., email address or phone number) of participants, program contributors, and guests. These lists may be provided to participants, program contributors, and guests of the event exclusively for the purpose of the event if necessary. There will be no further transfer of data to third parties.
§ 32 Personal data is collected and processed from the contractual partners for participation in the conference or other events of LCOY Germany or for the implementation of pre-contractual measures, which are carried out at the request of the affected contractual partners. The provision of the personal data collected and processed for this purpose is therefore contractually required. If you do not provide us with personal data, participation in events of LCOY Germany cannot be guaranteed.
Use of Photo, Video, and Audio Material
§ 33 By registering and participating in the conference and other events of LCOY Germany (event participants and the organizing team) or by entering the conference premises, you agree that photo, video, and audio material of you may be created during the event. You also grant the necessary rights to use these images, videos, and audio recordings for purposes of LCOY Germany, in particular for marketing purposes, on our own website, our official social media channels (Twitter, Facebook, and Instagram), our YouTube channel (also possible as a live stream), and on promotional materials as well as on websites and social media channels of third parties (for example, external media representatives, guests, program contributors, participants, or team members of LCOY Germany). This also applies if you provide text contributions, as well as photo, video, and audio recordings to the organizing team of LCOY Germany; in particular, you thereby transfer the full rights for further use.
§ 34 The consent to these Terms and Conditions is voluntary. However, participation in the conference or other events cannot be guaranteed if consent is not granted or if consent is revoked. Consent may be revoked in whole or in part at any time. The revocation only takes effect for the future. Already created photo, film, and audio recordings, as well as produced print and digital media, and data that must be stored due to legal regulations, are excluded from the revocation.
§ 35 The revocation must be addressed in writing to the following location: LCOY Deutschland, ℅ Jugend im Bund für Umwelt und Naturschutz Deutschland e.V., Kaiserin-Augusta-Allee 5, D-10553 Berlin
§ 36 All information in the associated online registration must be provided to the best of one's knowledge and belief.
§ 37 If individual provisions of these Terms and Conditions are invalid, the validity of the other provisions remains unaffected.
